New Lead and Contact Responded to Follow-up Sequence Automations

Problem: Service leads go cold when nobody replies quickly, and leads who already answered keep getting the same generic follow-ups.

What I built: A GoHighLevel sales funnel captures service requests, creates or updates pipeline opportunities, tags leads, and alerts the team. Service-based routing triggers email and SMS follow-ups, while replies move leads forward, flag hot leads, and stop the earlier follow-up workflow.

  1. Form submitted
  2. Pipeline opportunity
  3. Tag applied
  4. Email and SMS sent
  5. Reply detected
  6. Hot lead flagged

New Lead Automation

GoHighLevel builder workflow for the new lead automation with service-based routing
The New Lead Automation builder. A Form Submitted trigger on the HVAC service form creates or updates the opportunity (New Lead), adds the hvac lead tag, and alerts the team. A “What Services do you need?” condition then splits the lead into Furnace, AC Repair, AC Installment/Replacement, or Others — each branch adds its own service tag, sends an email, sends an SMS a minute later, then two follow-up SMS texts a day apart.

Contact Responded to Follow-up

GoHighLevel builder workflow that follows up when a contact replies
The Contact Responded to Follow-up builder. A Customer Replied trigger, limited to replies on the New Lead Automation workflow, sends an internal notification, creates or updates the opportunity, removes the contact from the New Lead Automation workflow so no further follow-ups go out, and tags them hot lead.
